workplace Rules of the road
Workplace will be the primary channel through which TBWA Worldwide and your Agency will make all agency announcements, share news and collaborate – as well as find the answers to everyday questions.
This Rules of the Road document (the “Rules”) has been developed to set forth the best practices and guidelines for use of Workplace and should be read together with other Agency policies including the IT and Security Policies.
Our general philosophy when it comes to communications on Workplace is to “Be Smart.” Each time you publish something on Workplace, remember that what you publish is a reflection on you, your Agency and TBWA. So, think carefully before you post (on your page or someone else’s page) or message. Here are the more specific Rules of the Road for using Workplace:
· Confidential Information: You are under an obligation not to reveal any Agency or client confidential information. Therefore, you should ensure that you do not disclose anything confidential on Workplace in a manner that would violate your confidentiality agreement with the Agency and the Agency’s obligations to its clients. For example, most client confidentiality agreements limit who within the Agency can access the client’s confidential information. In other words, you may ONLY share client information with individuals who have the same confidentiality obligations for that client. If you have any questions about whether and how you can share client information, ask your Agency leadership.
· Professional Manner: Be professional, respectful and use good judgment. Avoid posting things you would not be comfortable saying directly to someone and assume your colleagues and clients will be exposed to your content. Also show consideration for individuals’ privacy.
· Compliance with Agency’s Policies: When you are discussing the Agency or your position with the Agency online, you must take care to follow the Agency’s Code of Business Conduct and its policies, including but not limited to, its policies against workplace harassment, discrimination and retaliation.
· Personal Views and Responsibility:
o We are a global organization and our employees reflect a diverse set of customs, values and points of view. Be yourself, but be sure that you remain respectful of others, even when you disagree with their opinions. Be cognizant of objectionable or inflammatory topics – such as politics and religion. Focus on topics that are business-related.
o Keep in mind that if you choose to go public with your personal opinions, you may offend others, including your co-workers and current or future clients and vendors. You also will be held personally responsible for your commentary (attributable or anonymous) including any commentary deemed to be defamatory or libelous, or for posting content that violates a person’s intellectual and other property rights. Therefore, use your own best judgment and think before you post.
o The best way to contribute content that others will find interesting is to write about what you know. Posts that help you, your co-workers and/or our clients to do their jobs and solve problems; posts that help to improve knowledge or skills; posts that contribute directly or indirectly to the improvement of the Agency’s products and services; or posts that help to promote Agency values, are all valuable, constructive additions to the conversation.
o No postings should be critical of or damaging to the Agency or its clients, including, without limitation, by posting or linking to harassing, pornographic or indecent content. Though we may not actively screen the content of materials prior to their being posted on Workplace, and may not actively monitor the content of such posts on an ongoing basis, we may prohibit, discontinue or block access at any time and without notice.
· Compliance with Law. Comply with all applicable laws (including intellectual property laws, data protection and privacy laws, anti-spam laws, export control laws, tax laws, and regulatory requirements) when using or accessing Workplace or any part of it. To that end, don’t take any action on Workplace that infringes or violates Facebook’s, your Agency’s or someone else’s rights or otherwise violates applicable laws.
· Fact-Checking/Transparency. Commentary should be fact-checked, criticism backed up with evidence. Check your spelling and grammar. Make sure you have permission to post any copyrighted items (e.g. images) and be careful about posting or linking to items that may contain viruses. Don’t alter previous posts without indicating that you have done so.
· Work-Related Activity: If you are posting on behalf of the Agency, your postings will be treated the same way as any other communication created for the Agency or a client. Therefore, all work-related postings should go through the normal review and approval process prior to being posted online. Any posting of Agency related newsletters, blogs, websites must be approved in advance by both office leadership and the PR Department.
· Ownership of Content: Personal information, creative ideas and content, which you voluntarily include and post to Workplace, will be viewed and possibly used by others at the Agency. We will own all original content, ideas, artwork and plans submitted by you to Workplace, and may use the same for any purpose whatsoever.
· Technical Considerations: You may not:
o Upload viruses, malware or other malicious code or do anything that could damage, disable, overburden, or impair Workplace, its proper working or appearance (such as a denial of service attack or interference with page rendering or other Workplace functionality), its servers, or the network(s) connected to the server.
o Interfere with any other person’s use and enjoyment of Workplace and services on or available through it.
o Gain or attempt to gain unauthorized access to any services, parts of Workplace, other accounts, computer systems or networks connected to any server through hacking, password mining or any other means.
o Use manual or automated software, devices or other means or processes to access, scrape or crawl the Workplace services or any content or information.
o Other than as allowed by applicable laws, modify, create derivative works of, reverse engineer, decompile, disassemble, decipher or otherwise attempt to derive or extract the source code for Workplace or evade technical limitations on the use of Workplace.
o Obtain or attempt to obtain Our Content or any other Facebook materials or information through any means not intentionally made available to you.
